1. Who we are

Genelation Studios is the responsible party (data controller) for the personal information collected through this website and the Genelation Steppers community. We operate from Johannesburg, South Africa. This notice is issued in terms of the Protection of Personal Information Act 4 of 2013 (POPIA).

2. What we collect

  • Name, email address, phone number and date of birth
  • Your creative category, Instagram handle and bio
  • Who referred you to the community
  • Photographs and video taken at photo day and community events
  • Gen Points activity, rankings and photo day booking and payment references
  • For members under 18: the parent or guardian's name, phone number, email address and the date consent was given
  • Basic technical data such as your device and browser when you use the site

3. Why we use it

To create and run your member profile, rank you on the leaderboard, manage photo day bookings and payments, contact you about shoots, events and opportunities, promote the community and its members, and keep records we are legally required to keep.

4. Our lawful basis

We process your information on the basis of your consent (given when you sign up and when you accept the Photo Release), to perform our agreement with you as a member, and to comply with legal obligations. You may withdraw consent at any time, which may mean we can no longer keep your profile active.

5. Children under 18

We do not create a profile for anyone under 18 without verifiable consent from a parent or legal guardian, who must supply their own name and contact number at sign-up. We record the date and details of that consent. A parent or guardian may inspect, correct, or ask us to delete a minor's information and photographs at any time, and we will act on that request. Minors are not photographed at photo day without a parent or guardian present or having given written consent.

6. What is public and what is not

Your name, creative category, bio, Instagram handle, profile photograph, points and ranking are visible on public parts of the site once your profile is approved. Your email address, phone number, date of birth, guardian details, payment references and referral details are never shown publicly — they are visible only to you and to our administrators.

7. Who we share with

We share personal information only with service providers who host and run this platform (website hosting, database and email delivery), with brands or clients where you have separately agreed to be put forward for an opportunity, and where the law requires it. We do not sell your information.

8. Storage and security

Information is stored in secure cloud databases with access rules that restrict private fields to you and our administrators. Passwords are stored in hashed form and we never see them. No system is perfectly secure; if a breach affects your information we will notify you and the Information Regulator as required by POPIA.

9. How long we keep it

We keep your profile information for as long as you are a member and for up to three years afterwards for record-keeping, unless you ask us to delete it sooner. Financial records relating to photo day payments are kept for five years as required by tax law. Photographs already published in campaigns may remain in archives unless you withdraw your Photo Release, in which case we stop new use and remove them from our own channels.

10. Your rights

  • Ask what information we hold about you and get a copy
  • Correct or update anything that is wrong
  • Ask us to delete your profile and information
  • Withdraw consent, including consent to use your photographs
  • Object to direct marketing
  • Complain to the Information Regulator of South Africa (enquiries@inforegulator.org.za) if you believe we have not handled your information properly

11. Cookies

We use only the cookies and local storage needed to keep you signed in and to remember your preferences. We do not run advertising trackers.

12. Changes

If we change this policy we will update the date at the top of this page and, where the change is significant, tell members directly.
